How to Cite a PowerPoint in APA 7 (and MLA 9)

6 min readCitation edge casesReal numbers, not guessesFree — no sign-up

Slide decks are sources now — professors post them, students present from them, and the citation manuals eventually caught up. The format questions students actually face: how to cite a lecturer's deck on Canvas, whether a lecture you attended in person counts as a recoverable source, and what to do when the slides have no author but the course does. The table covers the common cases; the sections give the full anatomy. Both styles are simpler than they look.

Quick answer

In APA 7, a lecture slideshow follows the author-date pattern: presenter's name, date, title in italics followed by the bracket [PowerPoint slides], department and university, then the URL if posted online. In-text: (Rivera, 2024). In MLA 9, treat the deck as a work in a container: "Title," course, institution, date, URL. Slides buried in Canvas get the same treatment as any web file.

The APA 7 anatomy of a slide citation

APA 7 formats a retrievable deck exactly like a webpage wearing different clothes: Author. (Date). Title in italics [PowerPoint slides]. Publisher — here, the department and university. URL. A concrete example: Rivera, A. (2024, March 12). Epigenetics and behavior (italicized) [PowerPoint slides]. Department of Psychology, Arizona State University. https://... The bracketed descriptor is mandatory; it tells the reader the file is a deck, not an article.

Two details decide whether the entry works. First, the date is the date the deck was presented or posted, not the semester — full month and day when known. Second, the author is the presenter, not the course. A deck uploaded by a teaching assistant still credits the lecturer whose name is on the title slide; graders check this because it changes where the entry alphabetizes in the reference list.

PowerPoint citation cases, style by style — the range, and where each row actually shows up in coursework. Skim it first; the sections below explain why the range exists and which row applies to you.

CasePattern
Slides posted online (APA 7)Rivera, A. (2024, March 12). Title of deck in italics [PowerPoint slides]. Department, University. URL
Slides on Canvas or MoodleSame entry; end with the LMS course URL if that is the only access point
Deck with no named authorStart with the title, then (date), [PowerPoint slides], site owner, URL
Lecture you attended, not postedPersonal communication: (A. Rivera, personal communication, March 12, 2024) — in-text only, no reference entry

Slides versus lecture notes versus a lecture you attended

Three artifacts hide behind the word 'PowerPoint', and APA 7 treats them differently. A posted deck gets the full reference entry. Posted lecture notes or an outline take the same pattern with [Lecture notes] as the descriptor. A lecture you sat through, with nothing posted, is a personal communication — cite in-text only: (A. Rivera, personal communication, March 12, 2024) — and it never enters the reference list, because readers cannot retrieve it.

The personal-communication rule surprises students, but the logic is retrieval: a citation is an address, and you cannot send a reader to a room in 2019. Practical wrinkle: many instructors want even in-class lectures referenced. When the syllabus says so, instructor preference overrides the manual — cite the slides as if posted and note the course. Checking the syllabus costs one minute; guessing costs a revision.

Canvas, Moodle, and other login-walled decks

Slides behind a course login are a gray zone APA addresses for documents generally: if only your class can see the file, treat it as a personal communication; if the university archives it at a stable URL your reader could request, cite it as a posted file. Most instructors accept the posted-file pattern ending with the LMS URL: ... [PowerPoint slides]. Department, University. Course LMS URL. What matters is signaling where the file lives.

Guest lectures and conference decks follow the same skeleton with the venue swapped in: Rivera, A. (2024, October 3). Title [PowerPoint slides]. Zoom guest lecture, BIO 201, Arizona State University. If the deck came from SlideShare or a public course site, that site counts as the publisher and the citation looks like any other web document. Consistency beats cleverness — pick the pattern your instructor uses and apply it to every deck.

The MLA 9 variant

MLA treats the deck as a work in a container: Rivera, Ana. "Epigenetics and Behavior." BIO 201, Arizona State University, 12 Mar. 2024, canvas.asu.edu/courses/1102. A spoken lecture cited in MLA takes a similar shape with a descriptive label: Rivera, Ana. Lecture on epigenetics. BIO 201, 12 Mar. 2024, Tempe. The in-text citation points to the speaker alone: (Rivera).

Differences worth remembering: MLA wants the date in day-month-year order with the month abbreviated (12 Mar.), puts quotation marks around a deck title instead of italics, and prints URLs without https://. If your course mixes styles — some do, APA for the report and MLA for a reflection — keep deck citations in whichever style governs each document rather than translating halfway. Lecture files also get edited mid-semester more than anyone expects; for undated online material, MLA suggests adding your access date as insurance.

Three minutes to a clean citation

Edge-case citations punish hesitation, not ignorance: the student who spends twenty minutes googling a no-author format loses more time to doubt than the format ever costs. Decide the pattern once — title moves forward, organization counts as author, n.d. when no date exists anywhere — and apply it mechanically. Consistency across your list matters more to graders than perfect recall of manual arcana.

Automate what's mechanical. The citation generator below formats journal articles, books, chapters and websites in all three major styles, including the awkward cases on this page. Paste the metadata, copy the output, done — the minutes you save belong to analysis, which is where rubric points actually live. Cross-check in-text forms against the table above and the reference list is submission-ready.

Verify before submitting (APA 7):

  • Author names inverted (Surname, Initials.) with an ampersand before the last author
  • Article titles in sentence case; journal names in Title Case italics
  • DOI shown as a live https://doi.org/ link (no 'DOI:' prefix)
  • Edition and publisher location rules: editions in parentheses, no city since APA 7

Frequently asked questions

5 answered
1How do you cite a PowerPoint in APA 7?

Author. (Year, Month Day). Title in italics [PowerPoint slides]. Department, University. URL if posted. In-text: (Rivera, 2024). The bracketed [PowerPoint slides] descriptor is required, and the author is the presenter named on the title slide — not the course or the teaching assistant who uploaded the file.

2How do you cite a lecture you attended in person?

In APA 7, an unretrievable lecture is a personal communication: (A. Rivera, personal communication, March 12, 2024), cited in-text only, with no reference-list entry. If the instructor posted the slides afterward, cite the posted deck instead — that version is retrievable, which is the whole test.

3How do you cite slides on Canvas or Moodle?

Use the posted-file pattern and end with the course URL: Rivera, A. (2024). Title [PowerPoint slides]. Department, University. Course LMS URL. Strictly, password-walled files are personal communications, but most instructors accept the LMS pattern — follow the syllabus if it specifies one. Name the course as well when several decks in the shell share a title.

4How do you cite a PowerPoint with no author?

Move the title to the author position: Title of deck in italics [PowerPoint slides]. (2024, March 12). Department, University. URL. In-text, use a short title in quotation marks: ("Epigenetics," 2024). Never credit the course number as an author — decks have presenters even when the slide master hides the name.

5How do you cite a PowerPoint in MLA 9?

Treat it as a work in a container: Rivera, Ana. "Title of Deck." BIO 201, Arizona State University, 12 Mar. 2024, URL. The title takes quotation marks, the date reads day-month-year, and the in-text citation is (Rivera). For a lecture you attended, add the descriptor Lecture on plus the topic.
